How to respond to negative reviews (with examples)

Every business eventually gets a negative review. The review itself rarely decides what future customers think. Your reply often does, because they read it to see how you treat people when something goes wrong.

A simple structure for every reply

  • Thank them for taking the time to write.

  • Acknowledge the problem in one sentence, without excuses.

  • Explain what you are doing about it, briefly and concretely.

  • Move the conversation offline with a direct contact, so details are handled privately.

  • Sign with a real name from your team.

Example

“Thank you for telling us, Laura. You are right that your order arrived late, and we are sorry for the trouble it caused. We have changed our delivery partner for your area. Please write to us at the email below so we can make this right. — Ana, customer care.”

Mistakes to avoid

  • Arguing in public, even if the customer is wrong.

  • Copying the same generic reply under every review.

  • Sharing private details about the customer or the order.

  • Taking days or weeks to answer.

Make it a routine

Reply to every review, positive and negative, within a day or two. Track recurring complaints: if the same issue keeps coming up, it is a business problem, not a marketing one.

Our online reputation service monitors reviews and mentions for you, alerts you in time and helps you answer in your brand's voice.
